TERMS & CONDITIONS

Sets our below are the terms and conditions of the booking agreement between Stepperiders LLC., and its clients. It is extremely important that our clients understand and accept these Terms and Conditions as well as the quotations, itineraries, and other relevant communication from our trave advisors. When we receive a completed booking form, you (and any other person on who behalf you book) agree to accept all of these conditions.


Booking

  • Complete booking form: Fill out our booking form.

  • Invoice for deposit: After receiving your form, we will send you an invoice for the
    deposit payment

  • Confirm booking: Once you’ve sent the deposit, your booking will be confirmed
    by us.

  • Receive confirmation: Expect confirmation from us, including a visa invitation
    letter if required.

Reservation and Payment Policies

Deposit payment of 20% of the total package prices per person must be paid at the time of reservation to confirm your booking. The remaining balance is due 60 days before your departure.

For special trips like Naadam Festival, Yak festival and Golden Eagle Festival tours the full payment is needed upfront. Before joining the expedition, ensure you and your group are physically fit for the chosen itinerary and understand the potential risks. You're responsible for personal gear, tips, visas, vaccinations, extra food and drink, spending money, travel insurance, and any activities not in the itinerary.

To protect everyone, our Trek Leader may stop someone from joining or continuing the tour if they lack necessary abilities or endanger others' safety."

The trek price varies according to the number of participants. If you reach another price category the final payment amount will be modified. Please send us the signed release of liability at least 8 weeks before your arrival at Stepperiders.


Our Responsibilities
Ensuring your travel arrangements match the agreed terms is our priority. We take responsibility for our services and those provided by our partners to starts with meeting at the designated point, location and time. Any costs or issues before that or due to missing the tour aren’t our liability. We don’t cover incidents like terrorist attacks, political unrest, or transport delays.


Your Responsibilities

By booking, you acknowledge the inherent risks of the tour and take responsibility for your safety and action. You must comply with the tour guide’s authority for group welfare. Failure may lead to tour dismissal without refund. Notify us of special requests or medical concerns during booking. We aren’t liable for avoidable incidents due to undisclosed information. Your personal belongings and travel documents are your responsibility. Payment terms and preparation for the tour, including physical readiness and necessary provisions, fall on you. The trek leader can exclude anyone whose actions endanger others’ safety.


Complaint

If anything goes wrong during your trip, please tell us early on. Let our tour guide or leader know about any issues, and they'll try to sort things out.


Insurance

It is essential that all passengers are fully covered with reputable travel insurance cover before setting out on holiday. Insurance must cover personal accidents, medical expenses, loss of effects repatriation costs, and all the other expenses that might arise as a result of loss, damage, injury, delay, or inconvenience. Make sure you have a travel, medical and accident insurance before traveling to Mongolia. Stepperiders will not be held responsible for any of it.


Cancellation policy

If you or someone else of your group has to cancel his trip with Stepperiders you will have to inform us as soon as possible. Otherwise, the deposit is non-refundable unless it can be used as credit for another trip within one-two years. In the case of cancellation, we will charge the following:

Once we have started to provide our service from the point of your arrival in Mongolia, no refunds will be made for unused trip arrangements for any reason. There will be no refund given for unused hotel rooms, meals, sightseeing, trek days, or any other charges once the trip has commenced. The cost is quoted as a package price and credits are not given for services not used.


Price

The trek price varies according to the number of participants. If you reach another price category the final payment amount will be modified. Any extras not listed require your payment. Prices might change before booking, and we’ll notify you and seek approval for any adjustments.


Itinerary

Mongolia’s developing infrastructure and unpredictable weather may alter our itineraries. While we strive for minimal changes, modifications may occur for safety or accessibility reasons. Participants should view itineraries as a guide rather than a strict contract. Our tours require flexibility, and participants must understand that delays or changes might happen, leading to potential inconvenience or disappointment. No refund or compensation will be given for any unused services of the tour, and any major changes will be communicated during booking.


PAYMENT POLICY AND SCHEDULE

Please follow payment schedule

To confirm your booking, a non-refundable deposit of 20% of tour price per person is required upon reservation. If you postpone within 30 days before the tour, the deposit can be used for another tour within a year. Supplier penalties for cancellation will be deducted from the deposit.

Final payment is due 60 days before departure, or 90 days for specific tours like Naadam Festival or Golden Eagle Festival. Full Payment is needed if booking withing

30 days before the tour. Receipt of your payment indicates acceptance of our Terms and Conditions.

We reserve the right to cancel reservations without full payment legitimacy, we may request an alternative payment method. Please note, any discrepancies in transfer fees must be covered by the customer/agent, and the tour can only begin once full payment is received. The bank transfer fee(s) is your own responsibility. No fees are taken by our bank on the amounts received.


METHODS OF PAYMENT

By Bank transfer

Please transfer deposited amount via SWIFT to our bank. Bank details will be provided. All bank charges are charged to the senders account, then email us your transfer receipt to (info@stepperiders.mn) official email account. Once we have received your payment, we will start to secure your booking. It may take 3-10 days for your payment to reach our account. We exclusively accept only our official bank transfer for full payments; no other payment methods and no other bank account are accepted.

Legal Term

The terms and conditions of our services are governed by Mongolian law and are exclusively enforceable in a Mongolian court. If you seek additional resolution upon return, we aim to reach a mutual agreement. However, you must notify us in writing within 21 days from the tour's completion date to initiate this process.
